It is governed by a homeowner Board of Directors which oversees the community through onsite management led by the Chief Executive Officer.
This position will report to the Administrative Captain and will be directly responsible for all tasks associated with short-term rentals.
The VMC shall also be responsible for managing all issued private citations and the administration of the monthly hearing board sessions Essential Functions Serves as a subject matter expert in all matters relating to short-term rentals in Palmetto Dunes.
Works closely with and serves as a liaison between PDPOA and property owners, rental management companies, the Town of Hilton Head Island, and others, regarding the Palmetto Dunes Short-Term Rental Polices, Procedures, and Guidelines.
On at least an annual basis, schedules and conducts in-person (and possibly virtual) meetings with short-term rental property managers and/or owners of short-term rentals for the purpose of building relationships and disseminating short-term rental related information.
Manages the Palmetto Dunes Short-Term Rental Registration Portal and approves or declines applications.
Reconciles short-term rental monthly invoices and transmits information to accounting for payment.
Reviews all requests for short-term rental pass refunds and makes decisions to approve or deny the requests.
Submits documentation, as required.
Trains short-term rental property owners and rental management companies on the use of all technology platforms related to short-term rentals.
Conducts parking assessments and sets parking limits for all single-family residential properties in Palmetto Dunes.
From time-to-time, or as may be deemed necessary, works with any Palmetto Dunes committee on short-term rental related issues.
Reviews and proposes policies related to short-term rentals in Palmetto Dunes.
On a regular basis (typically weekly), prepares and disseminates data and other information to team members for calls for service, citations, and other violations related to short-term rental properties.
Similar information may also be requested for dissemination to the board of directors, property owners, rental management companies, and others.
Based on policies, procedures, and guidelines, suspends and or approves short-term rental pass privileges and communicates the same to appropriate parties.
Facilitates and manages the distribution of all short-term rental passes.
Updates owner and rental management company records in pass office software.
Makes recommendations for software and other processes that may improve efficiency and productivity of short-term rental pass management.
Based on a standard operating procedure and other guiding documents, schedules and administers the private citation appeal process which includes private citations issued to property owners, commercial vendors, and other visitors.
Prepares citation packet, facilitates and prepares minutes for the monthly Hearing Board meeting.
Required to attend periodic meetings and engage in occasional training exercises.
Assumes responsibility for related duties as required or assigned.
Demonstrates a full understanding of applicable policies, procedures, and work methods associated with assigned duties.
Records all known instances of rental pass misuse and follows up with the offending party.
Responds to owner and rental management company requests for information requests regarding security notices.
Drafts community informational emails and infographic handouts regarding short-term rentals.
As necessary, assists with pass office clerk duties including but not limited to inputting passes, printing passes, and issuing decals.
Verifies and adds new rental companies to rental program/POA software.
Provides quarterly data to the Board of Directors regarding Hearing Board meeting outcomes.
Contacts vendors/rental companies regarding community violations or complaints to obtain compliance.
Competencies Outstanding communication, writing and organizational skills, as well as professional telephone etiquette are required.
Ability to work with minimal supervision, prioritize, organize, meet deadlines, and effectively handle multiple projects is required.
Must possess the ability and knowledge to use computer systems, telephone systems, and other office equipment as needed.
Knowledge of MS Office, basic skills in office procedures, and filing systems is required.
Education and Experience A four-year college degree is highly desirable, but not required.
A combination of education and experience may be considered in lieu of a college degree.
The Visitor Management Coordinator should have at least 3 years' experience in clerical or administrative functions and office administration.
Excellent typing skills are critical and attention to detail and accuracy is required.

The check will bounce and the victim is left responsible.
